Are you a highly organized and proactive professional, immediately available, and ready to step into a pivotal role, providing essential support to a senior leader? We are seeking a dynamic Executive Assistant to join a crucial team within our client’s organization. In this role, you will be the backbone of operational efficiency, ensuring seamless daily functions and directly contributing to the productivity and success of a key executive. Your immediate availability and keen eye for detail will make a significant impact, providing critical support during a time of need and enabling the team to continue its vital work without interruption. You will be supporting the supporting a VP of the Sales team.
This is an initial 6-month engagement, with potential for extension based on evolving needs.
The role offers €42-50K /annum (pro rata) – 40 hrs/week – based on experience.
Due to the extreme urgency of the start date alongside high stakes exposure to executive-level sales leadership, only individuals with an immediate availability to start will be considered (no notice period).
Due to the contracting nature of this role, only candidates with unrestricted rights to work in The Netherlands will be considered.
Primary Responsibilities:
* Manage complex calendars, coordinate a full range of meeting, event, and travel arrangements, ensuring adherence to travel policies for cost-effectiveness and convenience.
* Perform essential office functions, including setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail.
* Review and edit documents for grammatical accuracy and adherence to established policies and procedures.
* Gather, compile, and report information relevant to executive assignments.
* Prepare expense reports and purchase orders, maintain office supplies, update organizational charts, and coordinate department or equipment moves.
* Serve as a central point of contact, responding tactfully and promptly to inquiries and handling confidential information with the utmost discretion.
* Create high-quality graphic and text presentations under tight deadlines, interpreting needs to produce effective layouts and organize final documents.
* Prepare special reports by selecting relevant information from diverse sources.
Qualifications:
* Proven experience in an executive assistant role supporting senior leadership, preferably within Sales / Business Development departments.
* Exceptional organizational and time management skills, with the ability to prioritize effectively in a fast-paced environment.
* Strong written and verbal communication skills, with an acute attention to detail for grammar and professional correspondence.
* Proficiency in creating high-quality presentations and reports using various software.
* Demonstrated ability to handle confidential information with the utmost discretion and professionalism.
* Experience coordinating complex travel, meetings, and events using online reservation systems.
* Immediately available to start, providing urgent support.
